OSA Job types
OSA knows 4 job types, Copy, Print, Scan and DocFiling.
COPY
Includes standard copy jobs and reprinting of jobs stored to the MFP hard disk from Copy mode.
Fax jobs are reported back as a "scan" job by OSA, and will hereby be logged in Pcounter as a "scan" job.
PRINT
Includes standard print jobs submitted to the MFP via print driver, web page, email, or FTP transfer and reprinting of jobs stored to the MFP hard disk (except from Copy mode).
SCAN
Includes jobs delivered to network destinations (email, FTP, or fax). The source file can be generated via the scanner, a PC-Fax driver, or a file stored on the MFP hard disk.
DOCFILING
Includes jobs scanned and stored on the MFP hard disk in Document Filing mode.

How to update software version 1.4.x to 1.5.x
1) make a backup of c:\daccs\...
2) run 1.5. update
3) install 1.5. management
4) undeploy osa_im 1.4 (tomcat manager)
5) deploy osa_im 1.5 (new 60 day trial starts)
6) stop tomcat servic
7) uninstall tomcat
8) reinstall tomcat (from new download)
9) forward new Server-ID
10) input registration key.

Trial message in display of MFP
If a valid license key have been entered into the embedded server software on the server and you still get a Trail message on the MFP display, then is it because the MFP have not been assigned to the license. On the MFP list (on server), ensure that the relavant MFP's is assigned

Obtaining debug logs from Ricoh devices
Open an MS DOS Prompt and enter the following command -
rsh ip mmesg_auto 125 >c:\Ricohdebug.txt
Whereby ip = ip address of the Ricoh device.
This will create a file named 'Ricohdebug.txt'.
Please send together with logs from C:\Program Files\VDMS Gateway\
to support@altman.co.uk for further investigation when reqeusted

Initialise MFP - Clear Hardrive of HP Device
1 Turn off the printer.
2 Press and hold START
3 Turn on the printer.
4 Hold START down until all three error lights illuminate.
5 Release the START key.
6 Press the 5 button until INITIALIZE DISKS appears on the control-panel display.
7 Press the 6 button.The printer boot sequence is complete when READY appears on the control-panel display.

SSL usage on copier
If PCXAConfig detects that SSL is installed on a printer, then Pcounter XAuditron will use HTTPS instead of HTTP to connect to the printer. The current exceptions to this rule are the WorkCentre 72xx/73xx series, which always use HTTP.

View jobs via PCXAConfig
Any jobs that have not yet been retrieved from the printer can be viewed in PCXAConfig by selecting the printer, right-clicking, and choosing View Auditron Log.

Status events
A running log of status events is kept by the accounting service as they occur. An event is recorded each time an attempt is made to collect accounting data from a printer. To view the status log in PCXAConfig, press the Accounting Service button on the toolbar, then Status Log > View.
Typical accounting events and their meanings:
0 bytes received
No accounting data was available to download.
XXX bytes received (where XXX is non-zero)
One or more accounting records were downloaded.
X records processed
Indicates the number of accounting records added to the Pcounter log during that collection cycle.
HTTP Status error: 500
This error is usually shown when Network
Accounting/JBA is disabled or not installed.
HTTP Send error: Error 12029
Typical “unable to connect” error, which indicates the printer was likely down or off-line.
HTTP Send error: Error 12002
“Connection timed out” error.

Is Pcounter XAuditron cluster aware?
Yes - only for active/passive configuration.
In the cluster group which contains the PcounterData resource, create a Generic Service resource and associate the Pcounter Xauditron service with it (PCXASVC), plus the registry key "HKLM\Software\Pcounter XAuditron" needs to be replicated. That is an active/passive configuration.

Limitations on number of accounts sent to device via EIP
Xerox have informed that the number of accounts is dependent on the model of the device you are using but the usual combined maximum of User & Codes that a device can hold is 2,159.

Yes this is possible. This is controlled through the management interface under Settings > EWB Login

Can I enable Guests to log into Pcounter Toshiba Embedded?
Yes this is possible. This needs to be enabled on the Toshiba device. To do this
Open the printer's webpage ("TopAccess")
Login as the Administrator
Navigate to User Management > Authentication > User Management Setting
Check the box "Enable Guest User"
Click Next > Finish to save the settings
Now reboot the MFD. The Guest button should now be visible on the login screen. There is no print queue associated with the user for obvious reasons, this user should only be used for copying.
Ensure that the Guest account on the server has credit or an unlimited balance

Message: “Please wait until all jobs are finished or delete all jobs and log in again. If one MFP paper tray is empty the job status will be updated in one minute”
This message is not an error. This is caused by a 2nd user attempting to access the EWB before the 1st user’s print jobs have completed, which could result in the jobs being charged to the 2nd user.
The resolution for this is to ensure that there is paper in all trays of the device.
The reason for this is that Toshiba printers do not have a ‘Busy’ status, they only have a list of active jobs. Jobs are deleted from this list one minute after printing. To prevent this delay Pcounter Toshiba Embedded checks the Error and Paper Out status of the device. If these both read OK it checks that the counters are changing. However Toshiba MFDs have only one Paper Out status for all trays, not individual ones for each tray. Consequently if paper is out in any tray the full minute will have to be waited before the jobs are deleted from the job list, and this message will appear.

Internet Explorer 6 or earlier does not incorporate some of the features required for the Pcounter Toshiba Embedded web interface to run. It is recommended to use one of the following:
Firefox 1.5 or above
Opera 9.0 or above
Safari 1.0 or above
Internet Explorer 7.0 or above
Google Chrome 1.0 or above

My users select a Copy Client Code then apply this to print jobs however this code is not recorded in the Pcounter log. Why?
Pcounter Toshiba Embedded’s print accounting will have been deactivated in favour of Pcounter’s print accounting. With this setting any client codes selected at the device for printing will not be recorded in the log. The two possible solutions for this are:
Enable Pcounter Popup on user’s workstations for client code selection (see Pcounter for Windows manual for more details)
Enable Pcounter Toshiba Embedded Print accounting through Settings > Accounting > Activate Accounting for Printing and disable the Pcounter Accounting on the printer through Pcontrol > Printer Config > Accounting > None

I keep getting logged out of the management web interface. Why could this be?
The web interface does not permit concurrent logons to reduce the risk of multiple administrators making conflicting changes at the same time. If someone else has logged into the interface since you have your session will be logged out.

Instead of a job queue my users see a blank Client Code screen. Why?
If Toshiba Embedded is configured to insist on a client code, and client codes are be locked down so users can only see codes to which they are associated, the user will not be able to access their Job Queue if they do not have any Client code associations. They will see a blank screen. This is by design to insist all users enter a client code if TSB is set for this.
To resolve this either:
Assign a client code to the users with no codes through Pcounter Administrator (see Pcounter for Windows Manual for more details)
Enable the option Settings > Client Codes > Allow empty client code
Disable EITHER Show only user assigned codes OR Client code only from list

Why can’t I select different client codes for print different jobs during the same login session?
This is by design as it was considered too cumbersome to insist the user assign a client code for each job individually, and the majority of users will only want one client code per login session.
Incidentally, it is not necessary for the user to log out of the device completely in order to select a different client code, they need merely restart the EWB through Menu > Extension.

I have recorded Copy jobs with no Client Code even though I have ‘Allow empty client code’ unchecked. Why is this?
This is an extension of the below issue. Because the device cannot be set to default to the EWB, and the device defaults to Copy, users can copy without logging into the EWB and therefore can Copy without entering a client code. As above, this is a limitation of the device.
The workaround for this issue is to use Pcounter Auto-codes, however these are not practical if a user has multiple codes and needs the facility to make a choice.

Can I set the default screen once logged in to a user’s Pcounter Job Queue rather than the Copy screen?
Unfortunately this is something which is out of control of our developers as it is a limitation of the Toshiba e-Studio Devices which cannot be set to default to the EWB extension.

The card number inuse can be tested at the PC526 terminal.

Ensure that this number appears in Pcounter Administrator - choose Pcounter Pro ID/PIN Numbers.

How can I stop access to Photocopying?
Open the Pcounter Gateway configuration and choose Tools then Configure Pcounter DLL. Next, select the Device Access permissions tab and double click the terminal you wish to restrict access to. You can then add users/groups to the list and deny/allow access.

How can I enable Self-association on my PC526 terminal?
Make sure that the UsePin option is ticked in the
Pcounter Gateway settings for the PC526 (and restart the MBM Gateway Service).
On the terminal ensure that the “Allow association” is enabled:
SUPV button, then into 2-CONFIGURATION, down to 4-GENERAL SETUP, down to 8-ALLOW ASSOCIATE and ensure it is ENABLED then FINISH all the way back to the main screen.

Open the Configuration User Interface and choose File then Terminal Setup.
On the right hand side, expand the option labelled Autoloader and tick the option AllowAssociate. Choose Save, then restart the MBM Gateway service.

Answers - XPR Reporting

Definitions of the types of reports from XPR Reports
Purchase – Refers to purchases of prints, copies or other items (using XPR Enterprise equivalent of PT builder) made against a user’s Pcounter account.
Funding – Refers to funding added to a user’s Pcounter account, by for example, a cash loader or (PAdmin)
Adjustment – Refers to adjustments made to a user’s Pcounter account, such as setting a balance or credit limit.
Complete – Shows a user’s complete transactional history, including all of the elements listed above. This could be likened to a how a bank statement would be recorded.

My XPR Reports don't seem to correspond to me Pcounter reports. There seem to be distinct differences. Why?
Version 3.13 and earlier of XPR Reports does not allow client codes which contain commas, as this throws the formatting of the cash.csv file. Consequently any lines in the Pcounter log which contain commas in the client codes field are disregarded. To resolve, upgrade to a later version than 3.13

To fix, the XPR Data Service needs to be uninstalled and reinstalled.
At a command prompt type sc query state=all to reveal all services running on the machine
Locate any XPR data service.
To delete, type sc delete "service name"
Restart the system
Reinstall the latest XPR data service

What are the critical files which need to be backed up for XPR Reports?
XPR Reports relies on the following files (locations given are the default locations):
C:\PCOUNTER\DATA\*.LOG
C:\PCOUNTER\DATA\XPRPcounter.mdb
C:\Program Files\Pcounter Pro\data\cash.csv
It is recommended that all of these files are backed up regularly.

“Test Connection” fails with error 11
Full error: “The entered Pcounter test account could not be verified. Verify that the entered Pcounter test account in the Settings page is a valid username (error 11). Additional error information: RequestResult not defined”
If pcounter test account is a valid account, check program files\pcounter for nt\nt\pcounter.ini and ensure UserServer is the same as AccountServer.

What does it mean that PWP is a hosted service?
PWP is a remotely hosted service created by Pcounter Web Services Aps (PWS), a Danish company founded in 2003. PWS take care of all the technical aspects of setting up and maintaining the PWP site for the school/library. There is no extra software or hardware to purchase. PWS host the PWP service with a premium level 1 PCI certified hosting provider. The datacenter certified staff manage hardware, external firewalls, network, security and operating system level. PWS manage the application layers and throughout have extremely strict policies on any and all access. The systems are fully security audited each quarter by an independent security auditor. We are proud of never having had any breach or vulnerability of any kind, since we began in late 2003, and not had any unscheduled downtime since 2005.

How long does it take for a deposit to show in the users Pcounter account?
When a payment has been completed by a user, PWP instantly updates the balance in Pcounter, making the credit available immediately.

Pcounter WebPay can work with practically all Internet-enabled payment methods, including all major credit and debit cards, and national payment systems such as Solo. Please contact us to inquire about a specific payment method or payment gateway.

How big a security risk is involved with online payments?
There is very little risk for both the end-user making a payment online and the school or library PWP customer. An end-user enters their billing information into a secure form which sends the information directly to the banking networks for authorization over a secure connection. Billing information is never stored for any length of time in PWP or its servers, so creditcard numbers or similar are always safe. There are very extensive mechanisms built in PWP, to ensure a payment is never lost. In addition, all users authenticate against Pcounter and Active Directory/Netware NDS, so the chance of fraud is virtually non-existant.

What is the process for a school or library to get PWP?
The process is simple:
1) School/library orders PWP from Pcounter Web Services (PWS) or local Pcounter representative
2) PWS send a PWP Setup Checklist which explains the setup steps in detail, and a simple information/customization form for the school/library to fill out
3) School/library gets merchant and payment processing accounts
4) School/library configures Pcounter at their site and opens firewall for PWP to communicate with Pcounter
5) PWS setup and customize the school/library PWP, do the necessary integration to school/library and payment processing companies, run extensive testing and finally send an official "welcome" email to the school/library with helpful instructions and tutorials.

What are the requirements to run PWP?
There are no extra requirements for the school IT infrastructure to run PWP, if Pcounter works, then PWP will too. PWP works with Pcounter on both Windows and Netware, both clustered and non-clustered in 32 or 64 bit. PWP uses only features already in Pcounter. No need to purchase any extra software or hardware.

 Photoshop documents
As Photoshop documents are too specialised, PrinterOn is unable to define the print parameters for these kinds of print jobs.
A workaround is in TIFF format with LZW compression.
The document could also be saved as a PDF but would require additional software to be installed on the client where as the above can be done in Photoshop.

PrinterOn and Netware
PrinterOn is compatible with Netware but only with iPrint printers. PrinterOn still needs to be installed on a Windows server with the Novell client and iPrint client installed on it.
Here are the additional actions that need to be carried out:
1) External setup:
- Log into (external) PrinerOn.net admin page
- select printer
- go into Optional Settings tab
- select "Documents are held and must be manually released by the Attendant/Operator.
- select "Documents are released using a 3rd party system"
- Ensure drop down is set to Non
- Enable Login ID only from requirements list
- Click save
2) PDS setup:
- Double click PDS icon from system tray
- Click settings
- Printers tab
- Double-click the printer and attach to the corresponding queue
- FOR IPP PRINTER: overwrite the local name to match the port name (can be found in the printer properties, ports tab). I.e. ipp://172.21.7.33/ipp/officejet

Spicer service not starting
Change port used by Spicer in registry and then restart:
